    One or many .pub files, or a .zip of folders with .pub files: the result keeps the folders. Files from Publisher 95 to Publisher 2021 and 365.

    A .pub file only opens in Microsoft Publisher. As a PDF, the same newsletter or flyer opens on any computer, tablet or phone, prints the same everywhere and can be attached to an e-mail or put on a website.

    How to convert PUB to PDF

    1. Add the .pub file above, or several, or a ZIP of folders with many.
    2. Keep Convert to: PDF and press Convert.
    3. Download the PDF. With several files you get one ZIP with the same folders, and a report.

    What the PDF keeps

    • Every page, in order, at the page size set in Publisher: A4, Letter, a folded card, a business card or a custom size. The report shows the size of each file.
    • Text as real text, so it can be searched, selected and copied.
    • Pictures and clip art, placed and cropped as in the publication. Photos are kept at their full resolution rather than being scaled down.
    • The fonts used, embedded in the PDF, so it looks the same on every device.

    For long-term archives, tick Archival PDF (PDF/A-2b) under More options: the standard archive format, which embeds everything and depends on nothing outside the file.

    What can come out differently

    The PDF is made without Publisher, so fonts that are not available here are replaced. Arial, Times New Roman, Courier New, Calibri and Cambria are replaced by fonts with the same letter widths, so every line breaks in the same place. Fonts such as Garamond, Gill Sans or Franklin Gothic are replaced by fonts with other widths, and a paragraph can then wrap differently or run past its box. The report lists every font of every file and marks the files worth a second look.

    Publications made with Publisher 95 or 97 lose their fonts and text colours in the conversion, and files from Publisher 1.0 and 2.0 can't be read at all; the report tells you when a file is one of these.

    Many files at once

    Up to 500 publications can be converted in one go. Put the folders in a ZIP (on Windows: right-click, Send to, Compressed folder) and upload that: the PDFs come back in the same folders, and the report says which ones to check.
